About this policy

HostLabs is operated by CodeLabs Philanthropic Solutions Limited of 2nd Floor, S.S.B Building, Wakiso, Uganda. This Privacy Policy applies to visitors to our website, people who contact us, and customers who use our hosting, domain, and related services.

In this policy, "personal information" means information that identifies you or can reasonably be linked to you. If you have a privacy question, you can contact us using the details at the bottom of this page.

Information we collect

The information we collect depends on your relationship with us and the services you use. It may include:

  • Identity and contact details, such as your name, business name, address, email address, and phone number.
  • Account and service details, such as orders, subscriptions, domain registration details, invoices, payment status, and support requests.
  • Information you choose to provide when you contact us, complete a form, or communicate with our team.
  • Technical information, such as your IP address, browser and device details, pages requested, and the date and time of your visit.

Where information comes from

We receive information directly from you or someone authorised to act for you, automatically when you use our website or services, and from service partners involved in fulfilling an order or payment.

Some information is required to respond to an enquiry, create an account, process an order, or register a domain. If you do not provide required details, we may be unable to complete the request. Optional information is identified when we ask for it.

How we use information

We use personal information to:

  • Provide, manage, renew, and support the services you request.
  • Process orders and payments, issue invoices, and maintain business records.
  • Respond to enquiries and communicate about your account or services.
  • Protect our customers and services, prevent fraud or misuse, and resolve disputes.
  • Meet legal obligations and, where you have chosen to receive them, send promotional communications.

Domain registration

Registering or transferring a domain may require us to provide registrant and contact details to a domain registrar or registry. The information required, how it is displayed, and how long it is retained can vary by domain extension and applicable registry rules.

Please provide accurate registration details and review any additional notices or terms shown when you place a domain order.

Cookies and similar technologies

Our website and customer services may use cookies and similar technologies to keep essential functions working, remember preferences, and help protect accounts and forms. You can manage cookies through your browser settings, although blocking them may affect parts of the service.

If we introduce optional tracking that requires consent, we will provide the relevant information and choices before using it.

When we share information

We share personal information only as needed to operate our business and provide the services you request. Recipients may include hosting and infrastructure providers, payment and email service providers, domain registrars and registries, and professional advisers acting on our behalf.

We may also disclose information when required by law, to respond to a lawful request, or to protect our rights, customers, and services. We do not sell your personal information.

International transfers

Some of our service providers may process or store personal information outside Uganda. When this happens, we take steps to protect the information in accordance with applicable data-protection law.

Retention and security

We keep personal information for as long as needed for the purposes described in this policy, including providing services, meeting legal and accounting obligations, maintaining security, and resolving disputes. Routine enquiries are generally retained for up to 90 days, unless they form part of an ongoing customer relationship or another lawful reason requires a longer period.

We use reasonable technical and organisational measures to protect personal information against unauthorised access, loss, or misuse. No method of online transmission or storage is completely secure, so please also keep your account credentials confidential.

Your rights

Subject to applicable law, you may request access to the personal information we hold about you, ask us to correct inaccurate information, object to certain uses, or request deletion where appropriate. You may also withdraw consent where our use of information depends on it. We may need to verify your identity before responding.

To make a request, use the contact details below. If you are unhappy with our response, you may raise a complaint with Uganda's Personal Data Protection Office.

Websites hosted by customers

A website hosted by a HostLabs customer may collect information under that customer's own privacy policy. If your question concerns information collected through a customer's website, please contact the website owner directly.

Changes to this policy

We may update this policy as our services or legal requirements change. The date above shows when it was last updated. We will provide additional notice of material changes where required by law.
